Oversees, coordinates and performs a variety of administrative, operational and financial support functions on behalf of the athletics department

Essential Job Functions

  • Manages department finances and invoices including preparing deposits for department and team revenue, creating requisitions for purchase orders, verifying and requesting payments for invoices, logging and tracking all department receipts and invoices and maintaining records for auditing purposes
  • Acts as the liaison for external department vendors and university procurement including the processing of purchase requisitions and expense forms, to provide consistent information and support budget account reconciliations
  • Coordinates and arranges athletics department transportation with outside vendors and JWU transportation department
  • Tracks transportation charges and payments for each athletic team, including cancelled and rescheduled trips
  • Collaborates with other university departments to coordinate new employee onboarding to support new employees with acclimating to their role within athletics
  • Greets and assists visitors and university employees as appropriate; answers incoming telephone calls, resolving complex and varied concerns or referring them to other staff members or departments as necessary
  • Performs general office tasks such as filing, distributing mail, maintaining records, copying, entering data (e.g., databases, web updates, etc.), ordering and maintaining office supplies, preparing reports, maintaining and managing department/administrator calendars, arranging for equipment and associated maintenance, and processing invoices/requisitions
  • Communicates with internal and external constituencies regarding various matters; composes correspondence often requiring discretion
  • Acts as department liaison for matters such as payroll processing, maintaining external relationships, etc.
  • Coordinates and arranges travel schedules, meetings and events, including preparing materials, reserving and preparing facilities, and recording and transcribing meeting minutes
  • Monitors the departmental budget
  • Performs other duties as assigned


Required Qualifications

  • Minimum of a high school diploma or equivalent (GED)
  • Experience working in athletics administration, business, administration, clerical support, budget management or other related experience

Qualified candidates must live or relocate within a daily commuting distance of the Providence Campus location upon hire.
