Essential Job Functions

  • Greets and assists visitors and university employees as appropriate; answers incoming telephone calls, resolving complex and varied concerns or referring them to other staff members or departments as necessary
  • Communicates with students to provide guidance on their rotation schedules and placement requirements, maintains compliance by monitoring and following up on required documentation and supports students in understanding and meeting program standards
  • Maintains current knowledge of clinical and placement software, including participating in trainings, to support program operations, preceptors, faculty, and students
  • Updates and manages databases containing student, faculty, program, training, clearance, data collection, and placement site information
  • Collects and maintains compliance documentation for students and clinical practitioners such as proof of insurance, affiliation agreements and other documentation
  • Organizes and maintains program and accreditation documentation, files and database
  • Generates reports related to students' progress, feedback and outstanding requirements and disseminates them to appropriate faculty and clinical coordinators
  • Monitors student patient logging, evaluations, and surveys, and prepares reports for clinical coordinators, preceptors, faculty, and the program director
  • Collects, distributes and stores records including student rotation assignments, student and clinical practitioner evaluations and required evaluations
  • Collects and maintains clinical practitioners' information and credentials in compliance with accreditation requirements and submits information to the administrative coordinator for payments to be processed
  • Supports on-site and off-site didactic and clinical year skills assessments to include outreach for placement, placement,, clinical education activities, and IPE scheduling, recording and distribution of assessments while providing technical support as needed
  • Collects, enters and manages student and program competency data on required databases
  • Establishes and maintains communication and working relationships with contacts at individual experiential and training sites
  • Supports scheduling of training site locations including student credentialing and communicating required attendance for meetings, exams and trainings to students
  • Supports the dissemination and data collection of program evaluations and surveys in both the didactic and clinical courses; including obtaining, reviewing and facilitating timely completion of preceptor evaluations of students, students evaluations of sites, course evaluations, and outcomes assessment tracking
  • Proctors didactic examinations, as needed
  • Coordinates clinical orientations, trainings, events, and examinations, including scheduling and administering exams
  • Provides general administrative support for the department or program, as needed
  • Performs other duties as assigned

 

Required Qualifications

  • Minimum of an associate’s degree or a combination of education/certification(s) and/or experience suitable for the position
  • Moderate amount of experience working in administrative support or other related experience

 

Please note: Qualified candidates must live or relocate within a daily commuting distance of the Providence Campus location upon hire.
